We love creating unforgettable events, which means our schedule can vary based on client needs. Here’s our typical communication schedule:
• Inquiries answered: Tuesday – Thursday
• Out of office: Friday – Sunday (on-site at events)
• Rest & prep day: Monday
Please note that we often have deliveries and events throughout the week, so response times may occasionally vary. If you reach out Friday – Monday, expect a response starting Tuesday.
Backyard Glamping-Specific Policies
• Setup Surface Requirements:
• Our tents must be staked into the ground on grass.
• If the setup will be indoors or on a solid surface (such as concrete), arrangements must be made in advance, and an additional sandbag fee will apply to secure the tents properly.
• Site Preparation:
• The designated setup area must be clear of obstacles, and all pet waste (including dog poop) must be cleaned up prior to our arrival. We reserve the right to refuse setup if the area is not properly prepared, and no refund will be issued.
• Fire Safety: Fires must be kept at a safe distance from the tents, and no open flames are permitted near any part of the setup.
• Food, Drink, and Cleanliness Rules:
• Makeup, food, candy, or liquids other than water are not permitted inside the tents unless we are notified in advance.
• Shoes must be removed before entering the tents to maintain cleanliness and prevent damage.
• Weather Policy:
• Our tents are all-season and waterproof, meaning events proceed rain or shine.
• In cases of severe weather, such as thunderstorms or high winds, the event will be postponed to the next available date to ensure safety.
• Site Requirements:
• Clients are responsible for providing a flat, clear area suitable for tent setup. If the site is not accessible or appropriate for setup, the booking may be canceled without refund.
• Pets are not permitted inside glamping tents to prevent damage and maintain cleanliness for future events.
• Check-Out & Equipment:
• All glamping equipment, including tents, bedding, and decor, must be returned in the same condition it was delivered.
• Any damages to tents, bedding, or other items will result in additional repair or replacement fees.
Indoor Sleepover Policies
• Space Requirements & Photo Submission:
• A photo of the event space is required before booking to confirm that the tents will fit.
• Each tent with a twin-size air mattress requires a minimum space of 40 inches wide by 75 inches long.
• If the tents do not fit upon delivery, no reimbursement will be provided for unused tents.
• Furniture Removal:
• All furniture must be removed from the event space prior to our arrival.
• Our team is not responsible for moving or rearranging furniture. If the space is not clear upon delivery, we will proceed with setup only within the available space.
• Food, Drink, and Cleanliness Rules:
• Indoor tents follow the same rules as glamping tents:
• No makeup, food, candy, or liquids other than water are allowed inside unless approved in advance.
• Shoes must be removed before entering the tents to protect the materials and ensure cleanliness.
• Pick-Up & Equipment Care:
• Clients are responsible for maintaining the condition of the equipment. Any damages or missing items will result in additional fees.
• All tents, bedding, and decor must be returned in the same condition.
Setup and Delivery
• Payment Requirement: Full payment must be received 24 hours prior to the event to confirm delivery and setup.
• Access & Site Preparation:
• Clients must provide accurate delivery details and ensure the setup area is clear and accessible upon arrival.
• Once setup begins, we will not move or relocate any part of the installation. Be sure the setup location is confirmed prior to our arrival.
• If access is restricted or the site is not prepared (e.g., blocked access, furniture in the way), additional fees may apply, or setup may be canceled without a refund.
• Weather Policy:
• Outdoor installations are subject to weather conditions. While our balloon decor can withstand mild elements, extreme heat, rain, or high winds may affect the setup. Pitch Posh is not responsible for weather-related damage once the installation is complete.
• Backdrops are suitable for indoor or weather-protected outdoor use only. For outdoor installations, we recommend having a backup indoor plan.
Balloon Care & Pickup
• Post-Event Balloon Policy:
• Balloons are yours to keep after the event. If you do not wish to keep them, our team will pop and dispose of them on-site unless other arrangements are made before pick-up.
• Stands, frames, and equipment must be returned at the scheduled pick-up time. Failure to return rental equipment may result in additional charges.
• Indoor & Outdoor Balloons:
• Outdoor balloon installations are more prone to degradation due to exposure to weather. Pitch Posh is not liable for balloon quality changes caused by environmental factors after setup.
Backdrop Care & Rental Terms
• Rental Equipment Use:
• All backdrops, stands, and props are rental-only unless otherwise stated and must be returned in the same condition as provided.
• Any damages or missing items will result in additional repair or replacement fees.
• Setup Requirements:
• Backdrops must be set up with adequate space and remain protected from weather if placed outdoors.
• Clients are responsible for ensuring safe and stable placement for the duration of the event.
Cancellation & Rescheduling
• Cancellation Policy:
• Deposits are non-refundable. If canceled more than 2 weeks in advance, the setup can be rescheduled for the next available date, but the same theme, colors, and design must apply.
• If canceled within 48 hours of the event, full payment is required with no option for refund or rescheduling.
Liability and Safety
• Responsibility: Pitch Posh is not responsible for any damages or accidents involving balloon decor or backdrops after setup.
• Supervision: Clients must ensure children and pets are supervised around displays to prevent injury or damage.
Photography & Content Policy
• Photography: Pitch Posh takes photos of all setups for promotional purposes. By booking with us, clients grant Pitch Posh the right to use these photos on our website, social media, and marketing materials.
• If you prefer not to have photos of your event shared, please notify us in writing before the event.
